Save Time with Smart Emails

Experienced recruiters and hiring managers know that they can spend a lot of time dealing with email communications to job candidates.  It’s both time consuming and tedious to send out large numbers of different types of emails to candidates.  Even worse is the possibility of making mistakes when copying and pasting from a template.  We’ve all sent the “Dear <firstname>” email out by mistake. And it can take a lot of time to sift through your inbox to see what past emails you’ve sent somebody.

Introducing Smart Emails

JobFlo’s new Smart Email feature can help!  You can now use JobFlo to send templated emails to your candidates directly from your Smart Inbox.  We’ve given you a few samples of common email templates to start from, and you can easily edit them to suit your needs.  No more copying and pasting!  Better still is we keep a record of every email you send to candidates and you can quickly see a complete history of all of your communications to them on the JobFlo candidate profile page.

Email Deliverability

Worried about email deliverability and getting past your candidate’s spam filter?  JobFlo Smart Emails are all sent using the two most popular email authentication systems – Sender Policy Framework (SPF) and DomainKeys Identified Email (DKIM).  While we can’t guarantee that some spam filters won’t block the occasional email, we can tell you that because we send out all emails with SPF and DKIM records, you will get the highest email deliverability rate possible.

And chances are your current business email account is not enabled with both SPF and DKIM authentication.

Getting Started

It’s easy to get started with JobFlo Smart Emails.

Step 1. Bring up a candidate profile page in your Smart Inbox and click on their email address in the upper right side of the screen.

Step 2. Choose an email template to use.  You can modify the content of the email if needed, then click on the Send button.  You can customize templates by expanding the View/Edit Templates link.  Note that you can add template variables such as the candidate name, the job position title, your company name, etc., which are then replaced with the actual values for that particular candidate and job position.

Step 3.  JobFlo keeps a record of every email you send to the candidate so it’s easy to get a quick glance of your complete communications history with them in one place.  Just look under Contact History for any applicant, and hover over Details to see the complete email that was sent.

Even better still, you can send a Smart Email to a group of candidates at one time.  Let’s say you’ve reviewed a large number of applicants and want to send an email to the top group of candidates to arrange a phone screen or interview.  Just go to the Smart Inbox, make sure you’re on the All tab, and place a check in the left-side checkbox next to your top rated candidates.

You’ll see a Mail Checked button appear at the bottom of the Smart Inbox.  Go ahead and click that button, and you’ll see the Smart Email page which will send and record a templated email to each of the candidates.

Understand where your applicants come from: Custom tags

Understanding where your applicants come from can help you better decide how to focus your recruiting efforts and dollars. JobFlo has implemented a new feature on your Job Posting page that allows you to create custom tags for your job postings. These custom tagged job postings can then be sent to different online resources like job boards or social networks.

You can create as many different custom labels as you wish. In each instance the applicant information and resume/cover letter will be directed to your Smart Inbox – for that specific job. The custom tag will show exactly where the applicant found the job posting.

Get more and better job applicants: ZIP codes

A good job posting contains details that help prospective employees understand if they are qualified. Clearly stated requirements of education, technical knowledge and experience help define the job and encourage applicants.

Unless the job is performed strictly through telecommuting, applicants will always need to know where the job is located. Job seekers first search by title and location. When those criteria match, they look at the other requirements.

JobFlo has changed the way ZIP codes are used in describing your job location. As long as you enter the ZIP code when setting up the job, the location will be displayed as “Location: City, State” – right under the job title.

If you do not enter the ZIP during the setup process, your default ZIP (your company’s home office ZIP) will be displayed.

In the examples above, the job itself is located in Parkersburg, WV, while the home office is located in Mountain View, CA. Which of these postings do you think will get you better applicants?
